Terms and Conditions











Tours will not be made and deposits will be refunded if the stated minimum number of guests do not make their initial deposit and second payment (half of remaining balance), by the due date. 


The price of the tour can change up until the second payment is due.  Once all payments are received, the price will remain the same based on the currency exchange rate paid for services and goods remaining to be paid.  Should the currency exchange rate increase, then the price of the final payment may increase but only by the amount of the exchange rate change up until the day the final payment is made.


Any change in price prior to the second payment will be communicated and the guest may cancel and be refunded their initial deposit.


The final price of the Tour will be based on the number of guests as stated on the Tour description.  If the price increase causes guests to cancel then any remaining guests may decide whether to continue with the minimum number of guests for the stated price or to disband and cancel the tour prior to the 6 month mark and date of second payment.






















Payment schedule for all tours:


Initial Deposit of 10% or $400 (whichever is larger) of tour package price per person due - immediately


Second Payment – Half of remaining balance, Due 6 months/180 days prior to departure date.


Third/Final Payment – Remainder of Balance, Due 90 days prior to departure date.





TERMS OF AGREEMENT



Deep Roots Touring Company LLC will provide: booked services, transportation and tours via private coach according to itinerary (airfare may or may not be included, check posted itinerary), tour guide/leader(s), accommodations according to itinerary, all travel itineraries, assistance and recommendations for optional activities during tour, assistance and recommendations for activities on free days, recommendations for transfer from hotel to airport, general assistance with trip related activity.


Not provided: meals other than breakfast where they are included in hotel booking unless stated in itinerary,  tours or transportation not listed in scheduled itinerary, admission to tourist attractions other than those specified in the tour description. Transportation on free-days, transport to or from initial or final hotel to airport for return flight unless stated on itinerary.



Refunds: Initial deposit is 100% refundable prior to second payment. Refund will be made after second payment due for other guests, this is due to the deposit being used to secure everyone's bookings.  Second and Third payments are non-refundable as that would cause cancellation of the trip for the other guests. Any unused or refunded moneys from canceled hotels, ticketing, bookings, transportation or flights, if any, will be credited to the guest for future travel less a $500 administrative fee per traveler. Credit will be calculated after the end of the tour once all travel providers (airlines, transport, tickets, hotels), have made any cash refunds. –


Note: Travel insurance is REQUIRED for medical coverage and recommended to cover most legitimate trip cancellations for the client as well. Travel insurance can be purchased through a travel agent or online.  Guests are responsible for choosing their own desired level of insurance, up to and including "cancel for any reason".  No recommendation of which level the guest should obtain is being made by Deep Roots Touring Co/Deep Roots Services LLC.



Client will obtain travel insurance on their own via a licensed insurance reseller which covers medical emergencies and evacuation at a minimum, and it is highly recommended to cover trip cancellation and interruption as well. Deep Roots Touring Company LLC does not provide or offer insurance or recommend specific insurance companies but we can recommend travel agents who offer such products.


Deep Roots Services LLC is not responsible for any issues involving weather, missed connections, medical issues, accidents involving transportation, food allergies, or any intangible likes or dislikes.  Please read itineraries and ask any questions you may have before committing to a tour.
